Program Assistant: Women & STEM Nonprofit (Part-time)

Summary: National nonprofit seeks a Program Assistant to support our small, close-knit team. We value communication, teamwork, and reliability. We work regular business hours Monday - Thursday in our beautiful waterfront office. This position supports the Team with carrying out the details of our Projects and Operations. We are a technology-based nonprofit that uses online training to make a big impact for women and girls in STEM, so it’s critical that candidates are tech savvy and love figuring out new technology on a daily basis.This is a key position in the organization and the entry-level starting point with many opportunities to learn and grow.

About the Company: The Institute for Women in Trades, Technology and Science (IWITTS) has been operating for 20+ years and is a leader in gender equity in education. We are a nationally-recognized organization that helps schools – especially community colleges – increase the number of women in Science, Technology, Engineering and Math (STEM) programs. Our projects and training system have been highlighted by the National Science Foundation for program effectiveness. Our Executive Director is a renowned expert in this field.


Online event coordination and moderation

  • Event coordination of our WomenTech Educators Online and In-person Training from sending out online marketing materials to our e-list to managing the contract process and administration of the training (example: scheduling training participant calls)
  • Technology coordination such as populating our online course learning system – Canvas – with revised training course materials
  • Customer service to our training participants (teams of college educators) virtually and on the phone
  • Moderation of quarterly Online Trainings, bi-annual Online Bootcamps, Webinars, and Annual Telesummit (online conference)
  • Travel support (book hotels and flights for Executive Director)

Multimedia/technical support for online trainings and e-store

  • Send emails through ActiveCampaign email marketing platform and Canvas Online Learning System
  • Format multimedia conference/training presentations in PowerPoint
  • Set up products in 1ShoppingCart/SendOwl and process orders
  • Modify In-person Training manuals
  • Prerecord and edit webinars and audio recording for our annual STEM Success for Women Telesummit
  • Shoot and edit short videos quarterly


  • We are a very small office, so keeping our office running – from helping with minor computer issues to working with vendors/fulfillment and very light invoicing/deposits in QuickBooks – is an important part of the position. You will have the assistance of a high school intern who you will supervise.


  • Populate marketing dashboards in Excel to track online marketing campaign performance
  • Manage client/prospect lists in ActiveCampaign

Required Skills:

  1. Self-directed. *Loves* figuring out technology and solving problems and can do so independently using online resources and documentation. Must also be able to follow documentation for our existing procedures and perform successfully independently.
  2. Program support with a hands-on detail orientation – we are working with many college teams virtually across the country and there’s much to keep track of. 
  3. Team player. Coordinates and works well with other team members, great communicator. 
  4. Hands-on multimedia/technical experience in several areas. Intermediate skills in Excel and PowerPoint. Video, sound, webinar production, and basic knowledge of HTML a plus!
  5. Good command of the English language and basic business writing skills.
  6. Bachelor’s Degree preferred (or equivalent on-the-job office experience).
  7. Minimum 2 years’ experience including internships, volunteer opportunities, and personal projects. An example of a personal project would be having created your own active website or blog.

Compensation / Hours / Location:

Starting Salary: Negotiable depending on experience.
Benefits: Health insurance and sick leave.
Schedule: Part-time, 28-32 hours weekly, Monday - Thursday, 9 AM – 5:30 PM (hours negotiable).
Location: Onsite in our beautiful Alameda waterfront office.
